Using the System

There are three basic methods to print using the new system, plus a PaperCut Client that integrates with all three methods. The three printing methods are not exclusive; you may use all three methods on any given printer or copier you have access to:

  1. Web Print
    1. How it works:
      1. Go To
      2. Click "Web Print" in the left navigation

    2. Pros:
      1. No configuration needed on user device
    3. Cons:
      1. Limited file types
      2. Limited ability to change printer settings
      3. Limited to specific printers
    4. Recommended Use -  Quick printing of simple documents to any printer, especially those printers you have not previously set up with Direct Print or Mobile Print.
  2. Direct Print
    1. How it works:
      1. Configure each printer for your laptop, then print like you have in the past
    2. Pros:
      1. Works with any file type
      2. Provides full access to printer settings
      3. Familiar to users
    3. Cons:
      1. Requires users to configure each printer one time
      2. Driver install does take some time to configure
    4. Recommended Use - Set this up on the printers or copiers you use most often that require an advanced feature set
  3. Mobile Print
    1. How it works:
      1. Follow instructions on the mobility site to configure your mobile device with each printer you need and print using that mobile driver.
    2. Pros:
      1. Allows printing from mobile devices including PC's, MacBooks, IOS devices and Android devices.
    3. Cons:
      1. Requires one-time print driver setup of each device.
      2. Less access to printer settings versus Direct Print, but more access than Web Print. Setup is different for each type of device and operating system used – users should bring their device to the Technology Service Desk for assistance. Instructions for common devices may be posted in the future.
    4. Recommended Use - Print from a mobile device such as a cell phone or tablet.
PaperCut Client
In addition to the methods above, users should download a client software on their laptop computer. The client software will show unique user statistics including the following: how many copies you have printed; free quota, plus Blackboard Transact Viking Dollar balance for students; and your environmental impact. While the client software is optional for most users, it is required for all users with multiple roles: a) both a student and an employee, b) an employee associated with multiple departments. Users with multiple roles will need to indicate in the Client which area each print job is associated with before the job will print.

Scan-to-eMail is available on the 8 Lanier Copiers. There is no charge for this function as paper and toner is not consumed. The copiers can copy many pages quickly using the auto document feeder. Users will login to the copier with their Viking Identification Card or their VCSU email username and password as described in the next section.

Accessing the LANIER Copier
The PIN numbers issued to employees for use on the 8 Lanier Copiers will be disabled. Instead, all users, including students, will use their Viking Identification Card on a card reader attached to each copier. Alternately, users may type in their VCSU email username and password on the copiers. The copiers will be available for all three printing methods described above. NOTICE: The Viking Card is a faster method of accessing the Lanier copier! Remember to logout after each use.

Additional Info
With PaperCut, all regular employees will be able to print and make copies. All employee printing will be charged to the department the employee is associated with. A monthly IDB (inter-department billing) statement will be sent to each department or office. If an employee is associated with more than one department or project, the employee must use the PaperCut client to designate where each and every print job will be billed to or select the appropriate account if using a copier. Reference the PaperCut client section above. For example: Professor John Doe is a faculty member in Biology and is working on an INBRE grant. John will create his document and send the document to a printer of his choice. The new, extra step is that John must open the client and designate if the print job is associated with Biology or the INBRE grant.  

A department chair or office manager may request a student be granted rights to print for the department or office by sending an email request to the Technology Service Desk. Please include the student email username; the department name; and any sub-department printing accounts the student should be associated with, e.g. jane.doe; Business Department; DECA

Student Printing


Students have increased access to printers and copiers across campus, including new options for scanning to their email, printing from mobile devices, printing in color, making copies, collating and stapling. Full-time students will have a quota of $12.50 (500 B/W duplex copies) per student per semester (fall and spring). Part-time students will have a quota of $6.25 (250 B/W duplex copies) per semester. The quota may be used for both color and black-and-white printing, although color printing has a higher cost-per-copy versus black-and-white – reference the chart below. Previously, all color printing, copying, collating and stapling was billable for students and it was only available in the Library or FMC. A student must have a balance remaining in either the semester quota, or Blackboard Transact “Viking Dollars” adequate to cover the print job he or she is attempting to print. PaperCut will not allow a student print job to print if the balance available is inadequate. Reference the section below titled, “Adding Funds to Viking Dollars for Student Printing.” The PaperCut Client software allows students to monitor their quota and to see the cost of each print job before they print it. NOTE: The student quota will be re-evaluated at the end of the 2018 fall semester with a possible adjustment for the Spring 2019 semester.

Adding Funds to Viking Dollars for Student Printing

To add funds to Viking Dollars, students can either go to the VCSU Business Office and provide a variety of payment types, or they can go to Blackboard Transact eAccounts
and add funds to Viking Dollars using a credit card. Parents, relatives and friends can also add funds through eAccounts if they know the student ID number assigned in Campus Connection and appearing on the Viking Card. While the Viking Dollar balance can be monitored in eAccounts, it is recommended that students install the PaperCut Client for improved convenience. WARNING: If your quota is getting low, add funds to Viking Dollars to avoid untimely delays in printing.

*The STUDENT rate includes the copiers and printers that all students typically have access to. It DOES NOT include FMC printers and back-office department printers with “security” referenced in the “list of campus printers”.

The FMC (Faculty Material Center) in McFarland has additional charges for special services such as binding and folding, plus some one-time charges per print job.

The chart reflects pricing for VCSU official business. Contact FMC for pricing on personal copies and printing.

Standard 8 ½ x 11 inch white 20 lb. bond paper is included in the prices above and may be picked up at either the technology service desk in Rhoades 117, or the FMC in McFarland 145. Other colors, sizes and types of paper will cost extra and must be purchased at the FMC.

Departments will be billed monthly for all walk up copiers and laser printers based on the chart above. Printing done in the FMC by FMC staff will continue to be billed separately.

Fun Fact: PaperCut is used by more than 50,000 organizations in 100+ countries to cut costs and to reduce the environmental impact of printing.

Project Goals

1 - Cut Waste and Our Carbon Footprint
Encourage responsible printing with PaperCut quotas and print policies, cutting paper and toner costs and power usage. For instance, we have set the default on all printers within PaperCut to duplex print, thereby saving paper. At-a-glance reporting on CO2 and carbon emissions – by CO2 volume or by tree – shows the impact (requires optional client software).

2 - Apply Print Policies Enterprise-Wide
With PaperCut, printing requests are intercepted at the print server to control jobs according to policies that encourage or enforce good behavior. Use job filtering to advanced scripting (JavaScript) to implement policies and improve device utilization. For example, we will display popups to route large print jobs to lower cost-per-copy, high-speed copiers.

3 - Allow mobile and BYOD Printing
Allow users to print from laptops and mobile devices at their disposal. No matter the operating system, their location, the file format or the brand of printer. All solutions integrate into PaperCut’s standard print charging/ accounting/quota process.

4 - Enable Find-Me/Secure Print Release
PaperCut protects confidential documents and slashes the volume of unclaimed printouts by allowing users to release print jobs at the point of printing. With Find-Me printing, users queue print jobs to a virtual queue, and then release them for printing on a specific device. Secure Print Release requires user authentication before printing, ensuring that only authorized users can print and collect sensitive documents. PaperCut can also be configured to require print approval and we believe this will work well for guest printing.

5 - Facilitate Laptop Configuration
PaperCut solves a newly encountered issue stemming from how print drivers must be installed in modern operating systems. Users can forego loading print drivers all together by using Web Print. Alternately, users can easily load print drivers for printers they use on a regular basis.

6 - Expand Student Printing and Coping Services
Students can print to additional printers and copiers across campus and this provides new options for printing in color, making copies, collating and stapling. Students will have a quota of $12.50 per full time student per semester (fall and spring). The quota may be used for both color and grayscale printing, although color printing has a higher cost-per-copy versus grayscale. Previously, all color printing was billable for students and it was only available in the Library. The integration with Blackboard Transact allows students to add funds to their Viking card if they consume the quota. The PaperCut client software allows students to monitor their quota and to see the cost of each print job before they print it.

7 - Streamline Administration of Print Services and Reduce Expenses
All print and copy services will run through a single financial account. All ordering, receiving and distribution of printers, paper and toner will be centralized. Overall institutional expenses associated with printing will decline for two reasons: 1) pricing will benefit from large contracts and volume pricing and 2) we will gain valuable data that will help us optimize printers, i.e. align usage patterns with appropriate size, type and quantity of printers. Through initial data we have already found ways to save in the coming 12 months by replacing 5 old black and white laser printers with smaller, duplex capable models; swapping 6 printers to optimize size and usage patterns; and allowing Marco to replace two color inkjet printers with less costly color laser printers.
